Coaching Policy, Privacy & Booking Terms

Kathleen Davidson is committed to providing a professional, confidential, and high-integrity coaching experience.

By purchasing or participating in any private coaching service, including single sessions, mentoring, or multi-session packages, you agree to the following terms.

1. Cancellations & Rescheduling

All cancellation or rescheduling requests must be submitted in writing via email to [email protected].

Sessions may be rescheduled with a minimum of 24 hours’ notice, subject to availability
Requests made within 24–48 hours of the session will be accommodated where possible but are not guaranteed
Cancellations within 24 hours, or failure to attend a scheduled session, will result in the session being forfeited

Kathleen Davidson reserves the right to require rescheduling to be completed via the designated booking platform where applicable.

2. Payment & Refund Policy

All coaching services are non-refundable once purchased.

This includes:

single sessions
mentoring containers
multi-session packages
Unused sessions are not eligible for refund
Change of mind, personal circumstances, or scheduling conflicts do not qualify for a refund

In rare circumstances, a refund may be approved at the sole discretion of Kathleen Davidson. Where approved, refunds will be processed within 7 business days and may incur a 10% administrative fee to cover processing costs.

3. Coaching Packages & Expiry

Multi-session packages and mentoring inclusions must be used within 12 months of the purchase date, unless otherwise agreed in writing.

Any unused sessions after this time will expire
Extensions are not guaranteed and are granted at the sole discretion of Kathleen Davidson

4. Extenuating Circumstances

In cases of serious illness, emergency, or significant unforeseen circumstances, exceptions may be considered at the sole discretion of Kathleen Davidson.

Supporting documentation may be requested.

5. Rescheduling by Kathleen Davidson

Kathleen Davidson reserves the right to reschedule sessions due to illness, emergency, travel, or unforeseen circumstances.

Where this occurs, an alternative time will be offered.

6. Privacy & Confidentiality

All coaching sessions are treated as confidential.

Personal information shared during sessions will not be disclosed to third parties without consent, except where required by law
Coaching is not therapy, counselling, legal, or medical advice
If information is disclosed indicating risk of harm to yourself or others, appropriate action may be taken in accordance with legal obligations

Personal information collected (including name, contact details, and relevant notes where applicable) is stored securely and used solely for the purpose of delivering coaching services.

Third-party platforms may be used for bookings, payments, and communication. By engaging in services, you consent to this use.

7. Session Recordings

Sessions may be recorded for personal use and integration purposes.

Recording will only occur with client awareness
Recordings are for private use only
Recordings may not be shared, reproduced, distributed, or published without prior written permission

Kathleen Davidson reserves the right to decline recording a session.

8. Intellectual Property

All materials, frameworks, language, and processes shared within coaching sessions remain the intellectual property of Kathleen Davidson.

This includes, but is not limited to:

The Energy Audit™ Method
coaching frameworks and tools
session content and teachings

These may not be copied, reproduced, taught, or used commercially without prior written consent.

9. Personal Responsibility

By engaging in coaching, you acknowledge that you are responsible for your own decisions, actions, and outcomes.

Coaching is designed to support awareness, clarity, and leadership development. No specific outcomes or results are guaranteed.

10. Policy Updates

This policy may be updated from time to time. The version in effect at the time of purchase will apply to your booking.
